Concur Instructions: Email Notification Preferences
Overview
Some emails from Concur are system automated, and our office has no control over how frequently they are sent. Some emails from Concur are simply courtesy notifications, and these you can control whether you receive them or not by updating your email preferences. You will need to update your email preferences for both Requests and Expenses.

Steps to Update Email Notification Preferences
Step 1: Open Profile Options
From the Concur homepage, click the Profile icon in the top right corner, and from the dropdown menu select Settings.
You will be taken to the Profile Options page where you can adjust the email notifications you receive through Request Preferences and Expense Preferences.
Step 2: Edit Request Preferences
On the Profile Options page, click Request Preferences to be taken to those settings. Select the types of emails you wish to receive or unselect the email notices you no longer wish to receive.
We recommend not editing the Prompt section, unless you are directed to do so.

Understanding the Request Preferences Options
Here are explanations of the Request Preferences options and what notices they send.

| The status of a request changes* |
Notifies you when your submitted request changes status, such as supervisor approval or budget authority approval. *Note: This does not apply when an approver sends the request back to the employee for resubmission; a different "Send Back to Employee" email is sent. |
| A request is submitted for approval** |
If you are a Request Approver, this will notify you when an employee in your group submits a request for your approval. **Note: If you are a Request Approver we recommend keeping this option selected so that you are informed when you need to approve a request for an employee. |
Once you have adjusted your Request Preferences click Save to be taken back to the Profile Options page.

Step 3: Edit Expense Preferences
On the Profile Options page, click Expense Preferences to be taken to that settings page. Select the types of emails you wish to receive or unselect the email notices you no longer wish to receive.
We recommend not editing the Prompt or Display sections, unless directed to do so.
We also recommend unselecting the checkboxes under Sign me up for section as our users have found ExpenseIt to be more troublesome than helpful. You will still be able to email receipts to Concur if you have verified your email address in your user profile.

Understanding the Expense Preferences Options
Here are explanations of the Expense Preferences options and what notices they send.

| The status of a cash advance changes | If selected, an email is sent when the status changes, such as from Issued to Approved |
| A cash advance is submitted for approval | If selected, an email is sent to the cash advance approver when a cash advance request has been made by one of the employees in the approver's group(s). |
| The status of an expense report changes*** |
Notifies you when your submitted expense report changes from Filed to Approved or Paid. ***Note: Does not apply when an approver sends report back to the employee for resubmission; a different "Send Back to Employee" email is sent. |
| New company card transactions arrive | Notifies you when new OSU Credit Card charges or direct billed items are added to your Concur profile |
| Faxed receipts are successfully received | Notifies you when new faxed receipts have been received by Concur's imaging services |
| An Expense Report is submitted for approval**** |
If you are a Budget Authority, notifies you when an employee using one of your indexes submits an expense report for your approval. ****Note: We recommend keeping this one selected so that you are informed when you need to approve an expense report for an employee. |
| A card feed import completes | Notifies the OSU Credit Card Administrators that the company card job has completed. |
Once you have adjusted your Expense Preferences click Save to be taken back to Profile Settings.
