Receipt Basics

  • Receipts are required for purchases over $25.00
  • Before throwing out or recycling receipts, make sure the image is legible in Concur

What is a Valid Receipt?

valid receipt shows the following items:

  • Name of vendor
  • Date of payment
  • List of what was purchased and cost per item
  • Total amount of purchase

Sometimes it's easy to confuse a credit card receipt with a credit card slip. The credit card slip only shows proof of payment and when payment occurred, but it does not provide any information on what was purchased; this would not be accepted as a receipt.

File Specifications for Receipts

Accepted file types are:

  • PNG
  • JPG or JPEG
  • PDF
    • PDFs cannot be password protected, in portfolio or collection form, or fillable forms
  • TIF or TIFF

The file size limit is 5 MB.

Adding Receipts to Concur

There are several ways to get your receipts into Concur.

  • Upload a receipt to Concur by dragging and dropping it into the Available Receipts section or upload it
  • Forward an emailed receipt to [email protected]
  • Take a picture with the Concur mobile app
  • Opt-in to E-receipts in Concur
    • Not all vendors participate in providing e-receipts
    • The e-receipt will appear with a Pending Card Transaction in your Concur profile under Available Expenses until the card transactions posts to Concur

Lost a Receipt?

In rare instances when a receipt was lost, destroyed, never received, or the vendor is unable to reproduce, any expenses over $25.00 must be substantiated using the Missing Receipt Declaration feature in Concur. This feature cannot be used with Commercial Lodging expenses; please contact our office for guidance. This feature cannot be used by delegates.

  1. Once you have completed everything else in your report, select the checkbox(es) next to the expense(s) missing a receipt.
  2. Click the Manage Receipts menu, and select Missing Receipt Declaration from the submenu.
  3. Follow the instructions in the pop-up window and agree to the attestation.
