The Mid-Month Payroll Draw option is offered to address the length of time between paydays and to help reduce the financial hardship for our hourly student employees as they adjust to college life and financial responsibility. This program is separate from the existing Emergency Payroll Draw process.
What is it?
Hourly student employees can submit a request to draw 60% of their earned but unpaid wages (worked between the 16th and the last day of the previous month), each month they would like to participate in the program.
Who can participate in the program?
Currently, the mid-month draw program is only available to hourly student employees who record their time in EmpCenter.
How does it work?
Hourly Student Employee
- Records hours worked each day in EmpCenter
- Completes the online Student Hourly Mid-Month Draw Request available between the 1st thru 6th each month, reading and agreeing to the conditions of the draw
- Enters their name, OSU ID, and OSU email address
- Enters their supervisor’s name and full email address
- Signs DocuSign Form
Hourly Student Employee’s Supervisor
- Receives signed Student Hourly Mid-Month Draw Request form from employee
- Verifies hours on the employee’s EmpCenter timesheet are valid and were worked by the employee
- Signs DocuSign form by the 6th of the month
Payroll
- On the 7th of the month, compiles all completed Student Hourly Mid-Month Draw Request forms
- Confirms hours worked between the 16th through the end of the previous month
- Calculates 60% of gross wages for this time period
- Creates a batch of all requests for processing payment through Student Accounts/Cashiers, via their student refund direct deposit account or physical check if no direct deposit account set up, on the 15th of the month
- Adds a deduction to each hourly student’s record to collect the draw from their regular, end of month paycheck
What happens if I send the request form after the 6th of the month?
You will receive an email letting you know the request cannot be processed because it was submitted after the due date for the program.
What happens if I forget to clock all my hours?
It’s a good habit to clock your hours every shift. Any hours entered in EmpCenter after the draw form is submitted cannot be included in the 60% calculation but will be included, as normal, during the regular monthly payroll process.
What happens if I take a mid-month draw and leave employment before the end of the pay period?
If an hourly student employee initiates a mid-month draw and terminates prior to the end of the pay period, the draw will be deducted from final pay as normal.
